Scope and roles
- Website visitors and prospects: We are the data controller for data collected via edgenza.com, contact forms, and marketing.
- Candidates: We are the data controller when collecting and assessing profiles for open roles or talent pools initiated by Edgenza.
- Client employees (HR outsourcing/managed services): We usually act as a data processor on the client’s instructions. The client’s privacy notice applies in addition to this one.
What we collect
Depending on how you interact with us, we may collect:
- Identity and contact: name, email, phone, address, job title, company.
- Candidate data: CV/resume, work history, skills, education, salary expectations, interview notes, assessment results, references, portfolio links, immigration/work authorization status where relevant.
- Client/contract data: point-of-contact details, billing data, contracts, and communications.
- HR processing data (processor role): employee records we handle for clients per their instructions.
- Website/usage data: device info, IP address, pages visited, referral URLs, and cookie IDs.
- Marketing preferences: subscriptions, event registrations, campaign responses.
- We may receive data from third parties (e.g., job boards, LinkedIn, referees, background-check vendors where lawful, and our clients).
- We do not intentionally collect data from children under 16.
Why we use your data (lawful bases)
We process data to:

- Assess candidates for roles, share suitable profiles with clients, schedule interviews (legitimate interests; consent where required).

- Improve and secure our site and services (legitimate interests).
- Comply with laws—tax, accounting, and regulatory requests (legal obligation).
Where consent is the basis, you can withdraw it anytime.
Sharing your data
We share data only as needed with:
- Clients (for candidate shortlisting/interviews or delivery of services).
- Service providers under contract (hosting, ATS/HRIS, email, communications, background checks, payment, analytics).
- Professional advisors and authorities if legally required.
We do not sell personal data.
International transfers
- Your data may be stored or processed outside Pakistan. When we transfer data internationally, we use appropriate safeguards (e.g., contractual protections) as required by applicable laws.
Retention
We keep data only as long as necessary:
- Candidates: typically up to 3 years from last meaningful contact, unless you request deletion sooner or local law requires a different period.
- Client/contract and finance records: contract term plus 7 years.
- Website analytics: typically up to 26 months.
When retention ends, we delete or anonymize data.
Security
We use administrative, technical, and physical safeguards to protect data (access controls, encryption in transit, employee confidentiality, need-to-know access). No system is perfectly secure; we’ll notify you of any breach as required by law.
